How to Better Organize Your Workload


Having a heavy workload can be stressful. It can feel like a burden and you may often feel overwhelmed with too much to do. Yet, there is an answer to this. Organization. Otganization is key if you want to complete your work tasks, feel structured, and be more productive. If you often struggle with your workload and lack organization skills, here are the best tips for improving.

Utilize Online Storage

There are various online storage platforms that allow you to store data. Instead of feeling overwhelmed with stacks of paperwork, you can file it online, and access the documents you need to at any time.

For example, if you work with leases, you can use lease management software to free your filing cabinets and store all of the information for your leases online.

Make Lists

At work you are most likely overwhelmed with a todo lists. This may include small tasks or ones that require being done immediately. Thus, you should make lists. First, make a list of the most important things you need to do. Then, you can follow this with the smaller tasks. It is best to tackle one thing at a time to ensure you offer it your full attention.

Also make a list of things you have done already. This allows you to add to it once you have completed your current tasks. It might help you put your mind at ease seeing and knowing that you are getting things done.

Prioritize Tasks

If you have tasks that are a priority, then you should be prioritizing them. Or, if all tasks require equal immediacy, start with the bigger tasks that will take the longest amount of time. This will help manage your workload and ensure that if you run out of time that you do not have large tasks hanging over your head.

Set Realistic Deadlines

For those who have a lot of pressure on them at work, it can be easy to set deadlines that are impossible to meet. If your boss gives you a task that needs to be done as soon as possible, don’t give yourself a one hour time limit if it is going to take you three hours. Be realistic as otherwise the time pressure will make you feel stressed and most likely not allow you to finish the task to the best of your ability.

Time limits are beneficial to keep on top of tasks and stay organized. Yet, if you are unrealistic with your timings, then the workload will feel heavier and more stressful than it needs to.

Focus on One Thing at a Time

There’s an old saying that goes something like, “you can’t talk and chew bubblegum at the same time, so don’t try.” This is the best advice in any situation. If you are able to devote your full attention to one specific task at a time you will be able to complete that task in a far more timely manner. If you make a point not to multitask, this can prevent you from confusing one task with another, as well as prevent you from making any mistakes that can be easily avoided by paying proper attention to one thing at a time.

Have Breaks

Without breaks, you are likely to burn out. Whether you are working a 10 hour day or just a few hours, you will need some time away from your tasks. This will allow you to wind down, gather your thoughts, and recuperate your energy. When you are feeling refreshed and energized, you are more likely to complete the task at hand to the best of your ability. This will give you a sense of pride and make you feel more content with what you have achieved. Even a 10 minute walk is enough to refresh your mind and organize your thoughts.

Eliminate Distractions

Distractions at work can easily divert your attention. Before you know it, a few hours may have passed and you may have missed a deadline or got nothing done. To prevent this from occuring, get rid of anything that may distract you. This could be your phone, a chatty work colleague, or the clock. Eliminating distractions will help you stay focused on the task at hand and most likely help you work to the best of your ability, which will satisfy you and your boss. Committing time to getting rid of these distractions will help you maximize your time at work and get through your to-do list.
